The overall auditing process undertaken by The Auditor, was both painless and beneficial. They project managed the whole process which only involved an initial meeting from myself and the odd telephone conversation for clarity (which was my initial concern over how much I would need to get involved).

I have been asked to let you have a few words on our experiences with CRA.

It has been a very successful relationship for DJ. Through the work of The Auditor, we have identified savings in excess of £130k p.a. The process of using The Auditor involved very little time from DJ staff. We pointed them towards our source data for their analysis, they gathered this data, collated it, performed the analysis and contacted existing as well as benchmark suppliers. We had to agree for them to contact our existing suppliers. We did get further involved when we decide to change a couple of suppliers to get the full benefit of The Auditor recommendations although savings were also available from our existing suppliers.

We are now able to verify the savings through the changes we have made and we are making larger savings than those identified by The Auditor. This is a real win / win relationship, in that if no savings are identified and made then no cost is incurred, you only incur cost if you make savings and you get the benefit of ongoing support and assistance.

The Auditor was engaged by us to examine certain areas of our cost base — stationery, storage, mobile telephones and a number of others — to make recommendations as to how we could secure savings and to provide us with an indication of the extent of such possible savings. I was pleased that the review was unobtrusive, requiring relatively little input from our finance, IT or other support teams — which was just how you told us it would be.

The completed review indicated potential stationery savings of around 18%, without changing our core supplier and which equated to around £xx,000 per annum. The Auditor approached Mott MacDonald in 2010 to offer their specialist services in rationalising and reducing the costs of procurement. They were commissioned to undertake an exercise of seeking to reduce procurement cost on office desk-top products and stationery consumables. As part of the briefing process, Mott MacDonald warned The Auditor that the business’ procurement of such items was extremely fragmented, with each office location effectively making its own arrangements.

Once The Auditor team embarked upon the exercise of collating the necessary information and lists of existing suppliers, they reported that it was a more complex commission than they had ever previously dealt with and it would take considerably longer to conclude than they had anticipated. They nevertheless remained committed to the task and eventually suggested a process which appointed a single national supplier, deploying a Mott MacDonald selected approved list of products. The key benefit of the exercise was in line with their original advice, reducing annual expenditure by 50%, from £500k to £250k pa.

Having appointed the successful supplier, The Auditor delivered the continuing commitment they had undertaken to provide in embedding commitment and compliance with the new arrangements. Despite the significant additional time and effort that The Auditor had to expend to achieve the target result, their agreed fee, based on a proportion of the savings achieved, was adhered to.

Mott MacDonald was impressed with The Auditor’s service and the fact that their service delivered what they said it would at the outset. I would happily recommend to other organisations wishing to streamline their processes and reduce their cost of procurement in similar areas.

SHARPEN UP - AND SAVE LOADSA MONEY

Brian Strathie was concerned by the spending on office and fax consumables (£175,000 per annum on office consumables and around £240,000 on IT in 2004).

He called in The Auditor in December 2004 to benchmark Scottish Water's contracts for consumables.  They work on a 'No Win, No Fee' basis, being rewarded a share of savings for one year only.

After that, Scottish Water pockets it all.

They completed their interim audit in March 2005 and confirmed that significant savings were up for grabs, around 39% on IT and fax consumables - £107,000!

The Facilities team has been real Succeed heroes in beating down the costs.

The average monthly spend on office consumables is down from £14,500 in 2004/05 to around £9,000.

The team has worked hard to improve contract compliance from 20 per cent with the old supplier to 75% in June and now 83% in July under the new contract.

Scottish Water is now only buying around 300 different products compared with over 2,000 previously - another internal efficiency!

Cost reductions on IT and fax consumables have been slower, but the rates from the new supplier are now in place and should deliver around £60,000 in savings per year.

Procurement is still working with the IT department to produce further savings from the possible use of recycled toner, etc.

This is a good example of when people comply with processes we can save money and improve efficiency.

The exercise was carried out with the full involvement and support of our own Procurement Specialist, and completed by mid July. We settled immediately on The Auditor's fee, which had been pre-agreed at half the agreed total saving.

We were particularly pleased that this exercise has also served to actually improve and strengthen our business relationship with our supplier.
