The Auditor acted for us in the renegotiation of various telecoms contracts over the last year. Our preference was to stay with our current supplier but at the same time ensure that we were getting best value in the current economic climate. When it comes to printer and multi-function devices there are a lot of claims made by manufacturers and vendors with regards to cost savings and support. “The Auditor” took on the task of gathering our requirements and obtaining a number of bid proposals from the various vendors, minimising our interaction with the sales teams and saving our IT department a considerable amount of time. They were able to summarise the proposed costs from each offering and provided an unbiased, like for like comparison. Colliers International was able to make a well informed decision on who should supply and support our new printer fleet and which models would suit our staff, whilst at the same time saving us money over our existing aging printers.

‘The Auditor’ was retained by Denton Wilde Sapte LLP to review and retender goods & services contracts with a combined value of over £xxxk per annum.

I have been asked to let you have a few words on our experiences with CRA.

It has been a very successful relationship for DJ. Through the work of The Auditor, we have identified savings in excess of £130k p.a. The process of using The Auditor involved very little time from DJ staff. We pointed them towards our source data for their analysis, they gathered this data, collated it, performed the analysis and contacted existing as well as benchmark suppliers. We had to agree for them to contact our existing suppliers. We did get further involved when we decide to change a couple of suppliers to get the full benefit of The Auditor recommendations although savings were also available from our existing suppliers.

We are now able to verify the savings through the changes we have made and we are making larger savings than those identified by The Auditor. This is a real win / win relationship, in that if no savings are identified and made then no cost is incurred, you only incur cost if you make savings and you get the benefit of ongoing support and assistance.

TA were engaged by D&W in 2007 to establish where potential cost savings could be made in relation to our general stationery expenditure.

Their collation of our existing costs, supplier base and products was completed quickly and with little disruption to our own staff. TA contacted our existing suppliers with our agreement and commenced with a benchmarking exercise with alternative providers.

Whilst not all recommendations were acted upon, we are satisfied overall that we will achieve considerable net savings whilst benefiting from an enhanced range of products.

The Auditor was commissioned to review a selection of expenditure categories to identify potential year-on-year cost benefits. Following their in-depth analysis and detailed report we were able to implement some of their recommendations by fine-tuning our purchasing practices in those areas that are already delivering significant cost savings.

Our finance team carefully control our rates bills across our residential homes and day centres. The Auditor delivered added value by checking the local authority billing was accurate and recovering worthwhile refunds. The Auditor was engaged by us to examine certain areas of our cost base — stationery, storage, mobile telephones and a number of others — to make recommendations as to how we could secure savings and to provide us with an indication of the extent of such possible savings. I was pleased that the review was unobtrusive, requiring relatively little input from our finance, IT or other support teams — which was just how you told us it would be.

The completed review indicated potential stationery savings of around 18%, without changing our core supplier and which equated to around £xx,000 per annum. As importantly, we benefited from The Auditor’s knowledge and experience in establishing a prescribed list of available stationery items in an on-line ordering system which they helped us establish with the key supplier.

While it was most frustrating they we were unable to secure savings in other areas such as telecoms, it was most gratifying that The Auditor could confirm that our contract rates were as good as they could possibly secure. It was also vindication of the hard work done by our teams in tendering and negotiating over an extended period.

The Auditor approached Mott MacDonald in 2010 to offer their specialist services in rationalising and reducing the costs of procurement. They were commissioned to undertake an exercise of seeking to reduce procurement cost on office desk-top products and stationery consumables. As part of the briefing process, Mott MacDonald warned The Auditor that the business’ procurement of such items was extremely fragmented, with each office location effectively making its own arrangements.

Once The Auditor team embarked upon the exercise of collating the necessary information and lists of existing suppliers, they reported that it was a more complex commission than they had ever previously dealt with and it would take considerably longer to conclude than they had anticipated. They nevertheless remained committed to the task and eventually suggested a process which appointed a single national supplier, deploying a Mott MacDonald selected approved list of products. The key benefit of the exercise was in line with their original advice, reducing annual expenditure by 50%, from £500k to £250k pa.

Having appointed the successful supplier, The Auditor delivered the continuing commitment they had undertaken to provide in embedding commitment and compliance with the new arrangements. Despite the significant additional time and effort that The Auditor had to expend to achieve the target result, their agreed fee, based on a proportion of the savings achieved, was adhered to.

Mott MacDonald was impressed with The Auditor’s service and the fact that their service delivered what they said it would at the outset. I would happily recommend to other organisations wishing to streamline their processes and reduce their cost of procurement in similar areas.

Their Mr. David Latter ably facilitated the project.

David started by making a detailed requirements review by analysing our invoices. The requirement was tendered, and this was followed by further price negotiations. We stayed with our existing supplier.

The exercise was carried out with the full involvement and support of our own Procurement Specialist, and completed by mid July. We settled immediately on The Auditor's fee, which had been pre-agreed at half the agreed total saving.
